New owners receive a copy of the Association’s documents, policies, budget, Certificate of Insurance with the Resale Certificate prior to closing on their property in accord with State property code.

Provide a 24-hour telephone emergency message service for the common areas, and take emergency action within the limits determined by Board policy.

Attend Board meetings. Acquire input from the Board members when preparing the meeting agendas. Minutes are prepared for the Board’s review and approval.

Mailing of Board Meeting notices and agendas to each Board Member prior to the meeting. Provide copies of appropriate materials for the meeting, for example: management report, correspondence, bids, etc.

Maintain a file on each lot in the condominium to include: closing information, deeds, correspondence, deed restriction letters, returned mail, etc.

Handle all correspondence directed to the Homeowners Association. Written, verbal or electronic communication is used as appropriate. Copies of correspondence are maintained in the Association’s records.

Maintain an up-to-date roster of all owners, off-site addresses of non-resident owners, agents, and trustees, and tenants to the extent that information is provided to the Agent. The Association’s records will be kept on Windows based software, specially designed for community association management.

Schedule meetings of the members. Prepare and mail notices, proxies, ballots, and agendas for the meetings in accordance with the Association’s document requirements. We work in conjunction with the Board when preparing presentation material.

Attend the Annual Meeting and participate to the extent necessary to inform the members of the Association with respect to all matters that are within the Agent’s responsibilities.

Assist the Board with the preparation of Rules and Regulations of the Association for review by the Association’s attorney prior to distribution to the residents.

Draft proposed Policy Resolutions and Procedures for the Board’s review and approval.

Draft proposed Architectural Guidelines and Standards Bulletins for the Architectural Committee’s review, and Board’s approval.

Inform Board members of changes in State of Texas regulatory requirements, as well as legal update courses available for Board members to attend.
